Overview

Kimley-Horn is looking for an Travel Administrator to join our team in Cary, North Carolina (NC)! This is not a remote position.

 

The Travel Administrator plays a key role in supporting Kimley-Horn's corporate travel program by providing exceptional service to travelers across the firm. This position serves as a primary point of contact for travel-related questions, helping employees navigate travel processes, tools, and resources while identifying opportunities to enhance the overall traveler experience. 

 

This role is not responsible for booking travel or acting as a travel agent. Instead, the Travel Administrator partners with colleagues, travel vendors, and internal stakeholders to understand traveler needs, troubleshoot issues, provide guidance, and support the continuous improvement of the firm's travel program. 

Responsibilities

Traveler Support & Program Administration 

  • Serve as a primary contact for travel-related questions and support requests from employees across the firm. 
  • Research and resolve travel-related issues while providing timely, professional, and customer-focused support. 
  • Partner with travelers to understand challenges, identify root causes, and elevate opportunities to improve the travel experience. 
  • Assist with travel program communications, guidance, and traveler education.
  • Monitor support requests and help identify trends, recurring issues, and areas for process improvement. 

Content & Resource Management 

  • Develop, update, and maintain travel resources, job aids, FAQs, training materials, and website content. 
  • Assist with drafting communications related to travel programs, enhancements, and traveler guidance. 
  • Ensure travel information remains accurate, current, and easy for employees to access and understand. 
  • Support ongoing improvements to internal travel program documentation and self-service resources. 

Vendor & Stakeholder Coordination 

  • Collaborate with travel suppliers and vendor partners to gather information and assist with issue resolution. 
  • Maintain relationships with external vendors to support program needs and traveler inquiries. 
  • Assist with reviewing supplier purchases, managing travel-related permissions, and updating user access as needed.
  • Support travel program initiatives through coordination with internal departments and external partners. 

Data Analysis & Reporting 

  • Utilize Excel and other reporting tools to analyze travel data and identify trends, opportunities, and potential issues. 
  • Support travel program reporting and administrative activities. 
  • Assist with validating data, maintaining records, and ensuring information accuracy. 
  • Help prepare summaries and recommendations based on data insights. 

Qualifications

  • Strong customer service and interpersonal skills with the ability to communicate effectively across all levels of the organization. 
  • Excellent organizational skills and attention to detail. 
  • Ability to research issues, think critically, and develop practical solutions. 
  • Proficiency with Microsoft Excel, including sorting, filtering, organizing, and analyzing data. 
  • Strong written communication skills with the ability to create clear and concise documentation. 
  • Ability to manage multiple priorities in a fast-paced environment. 
  • Self-motivated with the ability to work independently while contributing as part of a collaborative team. 
  • Willingness to learn new systems, processes, and technologies.
