Overview

Kimley-Horn, one of Fortune Magazine’s “100 Best Companies to Work For,” has an exciting opportunity for a seasoned Sr. Administrative Assistant in our Austin, Texas (TX) office. This is an in-office role. Hybrid and remote schedules are not available.

 

We are looking for an initiative-taking, detail-oriented professional to provide a high level of administrative support to our regional leadership team. You will play a vital part in supporting the day-to-day operations and administrative needs of the team. This role requires strong communication and organizational skills, as well as the ability to manage multiple priorities effectively. You will also collaborate closely with various departments and a team of regional administrative assistants. Ultimately, you will be a key contributor to our regional leadership team, ensuring that it runs smoothly and efficiently.

Responsibilities

Provide comprehensive administrative support to members of our regional leadership team including:

  • Team Support:
    • proactively manage several Outlook calendars
    • book travel arrangements and manage expense reports
  • Meetings and Training Support:
    • partnering to develop, schedule, and implement meetings and trainings
    • coordinate conference rooms, agendas, and meals
    • collect data and create detailed agendas and reports tailored to team needs for weekly and monthly meetings
    • ensure relevant materials are organized and distributed in advance
  • Team Building:
    • create strong working relationships with other administrative staff and senior leaders

Qualifications

 

  • High school diploma or equivalent and a minimum of 9 years of experience supporting a senior executive team in a corporate environment.
  • Exceptional communication, organizational, and time management skills.
  • Ability to build working relationships at all levels of the organization.
  • Must possess a high-level of forethought and ability to take initiative.
  • Anticipate, troubleshoot, and solve problems independently.
  • Self-starter who can thrive in an environment where leaders are in other offices and often travel serving clients.
  • Strong attention to detail and ability to maintain accurate records.
  • Proficiency in office software (e.g., Outlook, Excel, Forms).
  • High level of professionalism and confidentiality.
