Overview

Kimley-Horn is looking for an Employee Experience Administrative Assistant to join our team in Raleigh, North Carolina (NC)! This is not a remote position.

Responsibilities

  • Individual and Group Support:
    • Book travel arrangements, including OfficeSpace booking
    • Manage expense reports
    • Proactively Manage Outlook Calendars (meetings/call scheduling)
    • Maintain team shared travel calendar
    • Compile meeting agendas, minutes, and other miscellaneous documents
  • Diversity & Inclusion Support:
    • Schedule regular D&I related meetings
    • Scheduling and logistics for specific ERG requests, D&I Programs, workshops and events 
  • Face-to Face Meeting Logistics:
    • Reserving meeting space
    • assisting attendees with travel booking or providing travel direction, creating travel matrixes for attendees 
    • Ordering catering for meals and snacks, making outside reservations
    • Preparing printed materials 
  • General Office Support:
    • Submitting invoices
    • General data entry, document formatting, filing, and mailing
    • Asana support
    • Backup for reception / front desk
    • General office administrative duties
    • Office event support as needed

Qualifications

  • High school diploma or equivalent and 4+ years of administrative experience or executive assistant experience in a corporate/professional environment 
  • Proficiency in managing and balancing multiple tasks/priorities with a high sense of urgency 
  • Outstanding organizational skills and attention to detail 
  • Strong proficiency with MS Office including Microsoft Word, Excel, PowerPoint, and Outlook
  • Great attention to detail required
  • Ability to work independently and as part of a team
  • Identify and proactively solve problems
  • Experience with Concur is a plus (not required)
  • Able to manage and balance multiple tasks and priority
