Overview

Kimley-Horn, one of Fortune Magazine’s “100 Best Companies to Work For,” has an exciting opportunity for a seasoned Executive Assistant in our Warrenville, IL office. This is an office-based role at 4201 Winfield Road, Ste. 600, Warrenville, IL 60555. Hybrid and remote schedules are not available

Responsibilities

We are looking for an initiative-taking, detail-oriented professional to provide a high level of administrative support to a team of senior leaders focused on growth for our Midwest region. You will play a vital part in supporting various growth initiatives and programs. Ultimately, you will be a key contributor to our regional production leadership team, ensuring that it runs smoothly and efficiently.

  • Provide comprehensive administrative support to members of our regional production leadership team including the management of their travel, expense, calendars, meeting and call scheduling, document preparation, and outgoing communications
  • Partner with leaders to develop and schedule production meetings, trainings, and activities and other administrative tasks
  • Attend meetings, take detailed notes, and prepare initial drafts of minutes and summaries
  • Supply administrative support to special projects and programs including in-person meetings, our quality call program, and in-house trainings such as pricing and negotiation training, and professional liability training
  • Build strong working relationships other administrative staff and senior leaders
  • Occasionally travel (5%-10%) as needed to support meetings, events, and trainings, typically for 1-2 days at a time

Qualifications

  • High school diploma or equivalent and a minimum of 9 years of experience supporting a senior executive team
  • Prior experience in a corporate environment is preferred
  • Exceptional organizational and time management skills
  • Effective communication skills and an ability to build working relationships at all levels of the organization
  • Strong writing, editing, and proofreading abilities
  • Proficiency in the Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
  • Ability to thrive in a fast-paced work environment
  • Strong attention to detail
  • Ability to work independently and collaboratively as part of a team
  • Problem-solving ability, with a resourceful can-do attitude
  • Familiarity with Concur is a plus
