Overview

Kimley-Horn is looking for a Vendor Management Administrative Assistant to join our team in Raleigh, North Carolina (NC)! This is an in-office position.

Responsibilities

  • Handle high volume, deadline-driven American Express and Travel helpdesks                   
  • Reconcile and submit monthly expense reports for hotel and air programs
  • Enter invoices into the Concur system
  • Work with internal team members to update Travel website information
  • Communicate with the internal team and outside travel agency to coordinate entering meetings into Concur
  • Enter meeting information into airline websites for discounts
  • Track hotel contracts and rewards
  • Build and schedule group travel reports.
  • Assist with general support functions as required by the team
  • Support team where needed regarding large company-wide vendors such as Staples

Qualifications

  • Minimum 1 year of related administrative experience
  • Have a positive client service mindset
  • Facilitate, build, and maintain proactive relationships with firm colleagues and external vendors
  • Ability to respond quickly and efficiently to requests for assistance
  • Willing to network and build strong relationships with teammates around the firm
  • Balance tasks and quick turnaround timelines internal to the team and our clients
  • Capable of managing and balancing multiple tasks/priorities with a sense of urgency
  • Highly organized and detail oriented
  • Ability to learn new tasks and/or software programs quickly (including Concur, Excel, PowerPoint, Outlook)
  • Strong interpersonal and communication skills
