Overview

Kimley-Horn is looking for a Project Coordinator to join our team in Vero Beach, FL! The candidate in this role will provide proactive, detail-oriented, administrative, project production, and receptionist support to an office of project managers, engineers, and other staff. This is NOT a remote position! 

Responsibilities

This position has multiple responsibilities including project-based work and administrative duties including but not limited to:

  • Managing full project cycle for national clients
  • Interfacing with clients regarding project expectations, schedule, permitting process, etc.
  • Coordinating staff and contractors locally and nationally
  • Coordinating project submittals to various jurisdictional agencies, Cities, utilities, etc.
  • Researching agency requirements
  • Tracking of all tasks and client deliverable documents
  • Facilitating client communications (proposals, letters, contracts, transmittals, etc.).
  • Compiling and assembling reports; coordinating large production jobs, printing, and binding
  • Assisting engineering staff with contract processes and requesting insurance certificates
  • Preparing weekly trackers or job status communications for clients
  • Assisting internal clients with billing and performing invoice reviews
  • Create, proofread, edit, format and finalize project-related documents and reports

Qualifications

Requirements:

  • Bachelors degree preferred
  • 3-5+ years of experience coordinating projects for national/corporate clients
  • Excellent verbal and written communication skills
  • Highly proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint)
  • Proficient in Adobe Professional
  • Strong proofing, formatting and editing skills
  • Positive, client-oriented, take-charge attitude
  • Highly organized and detail-oriented
  • Capable of managing and balancing multiple tasks/priorities and performing well under deadline pressure
  • Ability to work well with various types of people and in a team environment
  • Ability to travel on a limited basis
